Partentra Privacy Policy
Version: 1.0
Effective date: 2026-10-28
1. Scope
This Privacy Policy explains how Partentra collects, uses, shares, stores, and protects information submitted through the Partentra website and its Request-a-Part service.
The current service allows a person to submit a vehicle-parts sourcing request. It does not create a customer account, take payment, provide checkout, automatically match a request to suppliers, or automatically send request information to suppliers.
2. Information we collect
- Your first and last name.
- Your email address, telephone number, preferred contact method, and ZIP code.
- The vehicle year, make, model, and, if you choose to provide it, VIN.
- The part description, optional OEM or part number, requested quantity, condition preference, urgency, and additional notes.
- An optional JPEG, PNG, WebP, or PDF supporting file.
- Technical and security information used to operate and protect the service, such as a Request ID, acknowledgement time, policy version, duplicate-prevention token hash, rate-limit hash, request timestamps, and notification status.
Partentra does not collect payment-card information or a shipping address through the current Request-a-Part form.
3. How we use information
- Understand and evaluate the requested part.
- Contact you using your preferred contact method.
- Research possible OEM, aftermarket, new-old-stock, or recycled sourcing options.
- Prevent duplicate, fraudulent, or excessive submissions.
- Provide request confirmations and internal operational notifications.
- Operate, secure, troubleshoot, and maintain the request service.
- Comply with applicable accounting, tax, warranty, dispute, security, or legal obligations when relevant.
Submitting a request does not guarantee availability, price, delivery timing, or sourcing success. The request acknowledgement is not consent to marketing.
4. Supplier inquiries and order fulfillment
Sourcing inquiry
To locate, verify, or price a requested part, authorized Partentra personnel may share only the information reasonably necessary for that inquiry. Depending on the request, this may include vehicle specifications, VIN, part number, condition preference, ZIP code, and relevant supporting evidence.
Partentra does not routinely disclose your name, telephone number, email address, or full shipping address to prospective suppliers during a sourcing inquiry. The current Phase 0 application does not automatically send requests or customer information to suppliers.
Order fulfillment
If you later agree to proceed with an order, Partentra may share information needed by the selected supplier, shipping carrier, or fulfillment partner to deliver the item. This may include the recipient’s name, shipping address, telephone number, or email address where required for fulfillment.
Suppliers and fulfillment partners must not use customer information for unrelated marketing. Before this information is shared for fulfillment, Partentra requires appropriate use and confidentiality restrictions in its supplier and service-provider arrangements.
5. Hosting and service providers
Partentra uses hosting, website, email, security, caching, backup, and related service providers to operate and protect the service. These providers may process information on Partentra’s behalf when necessary to provide their services. Partentra limits provider access and use to the services being performed, subject to the applicable arrangements and legal requirements.
Partentra may also disclose information when reasonably necessary to comply with law, protect the service or its users, investigate misuse, or establish, exercise, or defend legal claims.
6. Security and access controls
Request information is stored in access-controlled application database tables. Supporting uploads are stored outside the public website document root and are not placed in the public WordPress Media Library. Administrative request details and supporting files are restricted to authorized personnel.
The Request-a-Part service applies server-side validation, anti-forgery protection, duplicate and abuse controls, file type and size restrictions, private randomized filenames, access checks, and non-public response caching controls. No Internet transmission or storage system can be guaranteed completely secure.
7. Retention and deletion
Partentra retains an inactive parts request for 12 months after its last meaningful activity, such as a substantive update or communication about the request. At the end of that period, Partentra deletes or anonymizes the request according to its approved procedure unless a longer period is reasonably necessary for an order, accounting, taxes, warranty, dispute, security, or legal obligation.
Supporting uploads are deleted with the related request or earlier when they are no longer necessary. Rate-limit records are retained for seven days and then become eligible for deletion.
Backups follow a separate, finite retention schedule and are not retained indefinitely. Information scheduled for deletion may remain in a protected backup until that backup expires or is securely replaced, unless a legal or security need requires longer preservation.
8. Notifications
Partentra sends a confirmation to the email address submitted with a request and sends an internal notification to its authorized operational recipient. Supporting files are not attached to these emails and are not exposed through a public link. Email systems and service providers may retain message records under their applicable retention settings.
9. Cookies and analytics
At Phase 0 launch, Partentra uses only cookies and similar technology that are technically necessary to operate, secure, and deliver the website. Hosting, security, and caching providers may also process request logs or use necessary technology to protect and serve the site.
Partentra does not use advertising pixels, remarketing, or optional marketing cookies at Phase 0 launch. Aggregate website analytics may be introduced later only after separate configuration and privacy review. This policy will be updated if those practices materially change.
10. Privacy inquiries and requests
You may contact Partentra to ask about, access, correct, or request deletion of information associated with a parts request, subject to identity verification and applicable operational, security, and legal retention needs.
Include the Request ID, if available, and enough information for Partentra to verify the request. Do not send unnecessary sensitive information by email.

11. Changes to this policy
Partentra may update this policy as its services and information practices change. The published policy will identify its version and effective date. Material changes will be reviewed before publication and will not be represented as having applied to an earlier acknowledgement.
